Essential Duties, Responsibilities, Skills & Qualifications:

  • Assist walk-in customers in selecting required parts, suggest companion requirements, offer specials, and ensure the customer is exposed to the full product line.
  • Pull purchased parts from stock. If part is not in stock, determine availability and inform customer of expected date of arrival.
  • Answer telephone calls, providing price quotes and other information, capture customer name and phone numbers. Set up orders for daily shipment, delivery, or pick-up.
  • Verify “will-call” and “back-order” files weekly and return to vendors or stock those items not required. Assist the parts to service counter parts sales associate as necessary.
  • Order parts not in stock as approved by the Parts Manager.
  • Notify the customer and the Service Department when the parts arrive. Accept cash and credit payments. Keep cash register accurate.
  • Assist with organization and cleanliness of parts department.
  • Receive and stock incoming inventory. Verify receipts against purchase orders. Assist with periodic inventory vehicle counts as directed by supervisor.
  • Ensure merchandise displays are stocked, clean and appealing to customers. Complete all training as directed by supervisor.
  • Follow policies and procedures as set forth in Employee Handbook. Any other duties as assigned.

Physical Requirements:

  • Required to stand, sit, use hand to finger, handle, or feel.
  • Frequently is required to walk, stoop, kneel, crouch, crawl, reach with hands and arms, take and hear.

  • Apply special purpose cleaners to remove foreign materials which normal cleaning procedures do not remove, following recommendations of the product’s manufacturer.
  • Assist technicians with keeping the service department clean and organized.
  • Assist with property maintenance and appearance.
  • Greet customers immediately in a courteous and friendly manner.
  • Complete all training as directed by supervisor.
  • Police grounds of the dealership.
  • Wear company approved uniform.
  • Parking vehicles from service.
  • Empty trash.
  • Drive shuttle.
  • Complete OSHA right-to-know training.

  • Oversee the efforts of vehicle salespeople to enhance the image and customer satisfaction ratings of the facility.
  • Monitor vehicle salespeople’s payroll records.
  • Assist vehicle salespeople in setting their short and long-term objectives.
  • Communicate daily with New Car Sales Manager regarding recent trade-ins.
  • Establish standards for appraising used vehicles including requirement to obtain vehicle history report.
  • Complete written appraisal on all potential trade-in vehicles.
  • Ensure cosmetic and mechanical reconditioning of used vehicles is performed within cost and time limitations.
  • Develop, implement, and monitor the use of a prospecting program and follow-up.
  • Plan and control the display of vehicles. Establish and maintain standards.
  • Conduct sales meetings daily to review the previous day’s results and determine current day’s plan of action.
  • Provide on-the-job training for salespeople.
  • Develop and implement a prospecting program for salespeople and ensure the program is followed to achieve desired results.
  • Facilitate New vehicle pre-delivery with the Service Manager.
  • Review monthly productivity reports, salespeople’s monthly forecasts and profit performance with the Operations Director by salesperson and as a department.
  • Review salespeople’s performance and develop programs of improvement for those unable to meet their objectives.
  • Ensure vehicle salespeople maintain a 100-percent turnover to the Finance & Insurance Manager.
  • Evaluate the condition of demonstrators monthly.
  • Ensure compliance with information security and other laws.
  • Understand and comply with current federal, state, and local regulations that affect the New and Used vehicle sales department such as consumer sales practices, FTC requirements and information security programs.
  • Recommend New vehicle inventory levels to be carried based on customer and market analyses.
  • Assist salespeople in closing deals.
  • Communicate with vehicle salespeople to ensure company policies and procedures are understood and followed.
  • Complete all training as directed by management.
  • Follow policies and procedures as set forth in the Personnel Policy Manual and other corporate policies.
  • Any other duties as assigned.

  • Maintains a prospect development system.
  • Remains knowledgeable of new products, features, accessories, etc.
  • Attends sales meetings and training sessions (at various locations) as scheduled.

  • Notarize deal paperwork as required.
  • Forward completed deals to office in a timely manner.
  • Acquire licenses for selling insurance, if applicable.
  • Prepare monthly reports on finance penetration and products sold.
  • Keep sales management up to date with regard to rates and products.
  • Complete all training certifications as directed by management.
  • Follow policies and procedures as set forth in the Personnel Policy Manual and other corporate policies. Any other duties as assigned. 

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Must be able to access and navigate each department at the organization’s facilities.
